Billing Coordinator
Billing Coordinator
The ideal candidate must be accurate and efficient, a highly organized team player with an aptitude for detail work, employ reliable methods of checking own work to verify accuracy of work product, must be able to multi-task, and has a commitment to a strong work ethic. The primary aspects of the job will include basic clerical tasks, accounts payable entry, and billing responsibilities.

BASIC REQUIREMENTS
• 2-3 yrs Experience with Accounts Payable, Billing, and Accounts Receivable
• Understanding of Accounting principles and General Ledger
• Basic office equipment skills (fax, photocopiers, scanning, etc.)
• Basic skills in MS Word and MS Excel
• Ability to multi-task
• Outstanding interpersonal skills: team player, professional and efficient
• Excellent communication skills required: phone, email, and correspondence
• College Degree preferred
• 30-40 wpm typing and 10key skills
• Ability to work independently without a lot of supervision
• Advertising or media invoice entry a plus but not required
• Advertising Experience/Production/Media Billing a plus
ACCOUNTS PAYABLE
• Communicate with suppliers and respond to payment inquiries
• Coding and entry of both expense reports and supplier invoices into accounting program.
• Assist Controller with daily check runs
• Setup of new suppliers in accounting software as well as supplier A/P file.
• Collection of supplier paperwork for setup file
• Log inquiries for payment consideration
• Daily/Weekly filing of supplier invoices and check copies into accounts payable files.
• Annual supplier cleanup and prep for new year
BILLING
• Assist with data entry adjustments of client billing
• Assist billing specialists as necessary with billing process
• Collate and prepare distribution of client invoices
CLERICAL
• Sort documents and process invoices for data entry and payment
• Copy, distribute and file documents
• Other Duties as assigned

Advertising Account Management/ Team Manager
Phelps is looking for a talented mid-level (3-5 years) Account Manager with a background in integrated campaigns across TV, Digital/Social, OOH, radio and print to provide excellent client service and account management skills.

The individual will manage the administration of client assignments on a day-to-day basis.

Major responsibilities also include planning, analyzing, and evaluating information and agency output relevant to agreed-upon client needs. Candidate will also be responsible to coordinate and manage the activities necessary to meet client’s needs; ensure the smooth flow of work among agency teams; and coordinate preparation of media plans, research recommendations, and strategies.

Solid communication skills are essential so that you may lead both agency and client status meetings. You must be able to demonstrate excellent interpersonal and presentation skills. Individual must be energetic, highly motivated, a self-starter, and willing to succeed.

Search Engine Optimization Specialist
Hi. We’re Phelps, an integrated marketing communications agency in Santa Monica, CA.

We’re seeking an experienced Search Engine Optimization Specialist

The person we hire for this role will be responsible for all aspects of optimizing our client’s interactive efforts for optimal search engine performance. The role encompasses aspects of strategy, content creation, and interactive development.

Plainly said, we’re looking for an SEO rock star.

As part of consideration for this role you must be willing to share case studies and results from past accounts and projects. Innovation and creativity are just as important to us as methodology and project lifecycle, so please keep that in mind.

Candidate should be prepared to speak to and provide examples of:
- Research techniques in staying on top of market trends
- SEO copywriting
- SEO architecture audits
- Strategies and techniques for identifying SEO opportunities, recommendations, and implementations
- Thorough understanding of interactive development best practices relating to SEO; and ability to work with a dev team in the implementation of SEO updates
- Understanding of the relationship between paid and organic search strategies and the ability to optimize the cross-channel mix

Responsibilities and Skill Set
- Oversight and management of onsite and offsite SEO resources
- Provide technical guidance and specification during the development of web sites and other online projects, in accordance with SEO best practices, for both client sites and in an advisory capacity agency-wide
- Staying abreast of (and sharing) changes and algorithm updates in the search industry
- Reporting to clients and upper management on KPI's and web analytics
- Knowledge of link building, social and local SEO
- Ability to develop and evangelize creative, design, and technical SEO specifications to be shared with key stakeholders across the organization.
- Ability to develop internal programs to give visibility to technology/content stakeholders on current SEO initiatives
- Experience in partnering with data analyst to find areas of growth/improvement for SEO
- Ability to create SEO and web development proposals
- Strong analytical skills with attention to detail; self-starter
- Proven understanding with skills in applying statistical analysis principles to business challenges.
- Ability to organize, manage, and prioritize multiple projects simultaneously
- Excellent with customer relationship management and able to upsell search services, both to clients and other agency stake holders


MINIMUM QUALIFICATIONS
- Proven track record of successful SEO strategy and implementation (at least 3 years) for national brands, and on large sites with the goal of increasing sales and traffic
- Have a thorough knowledge and understanding of holistic search ranking factors and critical updates
- Bachelor's Degree or greater in Business, Computer Science or other relevant field
- Thorough technical know-how and understanding of SEO coding best practices and implementation as it relates to web site development
- Understanding of web server, analytics, and search engines technologies.
- Understanding of technical website development elements (HTML, JavaScript, CSS, WordPress, etc.) and their implication to SEO efforts.
- Experience with content management/web production systems (CMS)
- Strong background in keyword research & ranking, site audit, and link building tools (e.g., Moz, Google's Keyword Planner, Wordtracker, Majestic SEO, Google Webmaster Tools, etc.), as well as other analytic platforms (Omniture Site Catalyst, Google Analytics
- Experience coordinating efforts across teams to drive execution.
- Ability to consult and problem-solve individual issues when needs arise.
- Exploit organic traffic growth and develop website to enhance process.
- Research and develop SEO best practices to identify new market opportunities and maximize traffic growth

Advertising Account Coordinator (Digital)

The Team Coordinator will be responsible for providing project management support on a large-scale interactive account for one of our agency’s leading clients.

This position is much more than tracking schedules and timelines – you’ll be working with specialists across all disciplines to develop and execute solutions to make our site work harder and faster to provide users with an optimal online brand experience.

Candidate should be intuitive, digitally savvy, a strong team player and demonstrate smart thinking and proactive problem solving. He or she should possess a basic understanding of web design concepts and processes. This candidate should have an interest in learning the ins and outs of the digital space and how to communicate a brand’s personality through all interactive channels.

Strong communication skills (written and oral), organizational skills and client service skills required. The ideal candidate will have at least 2-3 years account management or project management coordination experience in a mid/large size advertising agency on interactive accounts – other experience a plus.

Position requires a Bachelor’s degree plus strong Word, Excel and PowerPoint skills. Experience with Marketo is a plus, but not mandatory.

Responsibilities include:

Marketing Data Analytics Intern - Summer 2014/Paid
Phelps, is looking to hire a paid Marketing Data Analytics Intern for this Summer 2014 term.
We are an integrated marketing communications agency located along the Santa Monica coastline who specializes in Advertising, Public Relations, Media Strategy, Digital Development, and Brand Strategy.

The ideal candidate will have an academic background and/or previous internships encompassing data analysis.

This internship will provide the opportunity to work on projects as they relate to the analysis of web data, direct response marketing, email marketing, customer activation analysis, and others.

Social Media Trainee (Entry Level Hire)
Phelps is currently looking to hire a Social Media Trainee.

The goal of the Social Media Trainee shall be to work in client centered teams, execute content which is aligned with the proposed strategy and support campaigns for both client/agency activities.

Potential duties and responsibilities:

• Generate content to be posted on social media sites such as Facebook, Twitter, Google+, Instagram, YouTube, Pinterest
• Work directly with Social Media Coach to ensure content is aligned with proposed strategy
• Proactively seek social media opportunities for new and existing clients
• Help manage content posted by internal teams and end users
• Draft social media copy and assist in creating content calendar for agency and clients
• Develop ideas for social media promotions and engagement tactics
• Create and manage an editorial calendar for the Phelps blog
• Research and engage with online communities to promote client’s brand
• Support agency PR specialist and community manager on social media content ideas and copy
• Help promote events through social networking avenues

Our ideal candidate is not only passionate about social media and stays abreast of industry changes, but they love to write, get excited about creating visual content through photos and videos and are heavy social users in their spare time; they likely maintain a blog. Candidates should have at least one internship working directly in a social media capacity for a brand or through an agency. A Bachelors degree in Journalism, Public Relations or a related field is highly desirable.
