HR Trainee
Hello There, our name is Phelps.

Who we are: A Marketing Communications Agency with 85 employees and 13 dogs (yes, we are a dog friendly office).

What we do: Integrated Marketing Communications, meaning Advertising, Public Relations, Websites, Social Media, Media Planning/Buying, and the list goes on.

Why this job posting is up: We’re looking to hire an HR Trainee who can assist across three main areas in the agency – Human Resources, Agency Operations and Talent Acquisition.

The advertising industry is incredibly fast-paced. It’s the type of place that demands quick thinking, prudent decision making skills and a desire to come in and do great things every day. Sure, “Mad Men” might make it seem like it’s one big party all of the time, but the reality is that we work hard and have fun at the same time. As our agency continues to grow our Operations/HR team needs to grow with it.

The responsibilities this person will have upon joining our agency will be many, including, but not limited to:

Human Resources:
• Partner with our Benefits Specialist as support in all benefits including but not limited to:
- Assist with organizing personnel information
- Review paid time off policies, procedures and reconcile employee time records vs accrued time off
- Assist with the administration of various benefit programs, 401k and ESOP

Agency operations:
• Partner with other associates in coordinating agency wide events on a rotational basis
• Support the daily operations essential to conducting business
• Light front desk reception duties on a rotational basis
• Assist with creating, maintaining and auditing general corporate files
• Research data for annual corporate insurance policies
• Partake in ad hoc projects

Talent Acquisition:
• Partner with our in house recruiter to coordinate interviews between candidates and internal stakeholders
• Attend off site recruitment events
• Coordinate on site recruitment events
• Assist with the on boarding and manage logistics of Freelance talent
• Learn to interview and screen candidates for various positions
• Help maintain and improve our agency’s new hire on boarding processes
• Assist in research efforts to identify optimal recruitment processes

Brand Strategist (Account Planner)

Lead Marketing Data Analyst
You understand that data is what makes the world go round. You know that data in marketing is one of the primary components to a brand’s success. You have the ability to take raw data, translate it into business insight and create strategy from it. You can dive into the intricacies of a website’s analytics in the morning, look at the data from Digital Marketing campaigns during lunch and conduct A/B testing in the afternoon. You are the person everyone in your office runs to for in depth analysis of any kind. Phelps, an integrated marketing communications agency located a few blocks from the Santa Monica coastline is actively seeking a Lead Marketing Data Analyst to join and our team on a full time basis.

We are looking for someone to join us with the following experience:
• A hybrid individual who can help lead our agency’s Analytics Discipline in conjunction with rolling up their sleeves and getting the work done. We’re looking for more than just the voice of Analytics but also the hands to lead the charge alongside an elite team of digitally savvy associates. In essence, can you talk the talk and walk the walk?
• Is highly analytical and driven by finding key insights by data mining large and complex data sets
• Is able to work closely with our client-based teams and help them define key metrics, by identifying trends and opportunities across various types of media such as SEO, SEM, Display and video; along with being able to analyze Website traffic from those channels
• Able to synthesize data from various sources and deliver actionable insights based on both qualitative and quantitative sources, or work with partners that are able to inject predictive modeling to our workflow
• Assist and build requirements, definition, project scoping, timeline management, and results documentation to ensure great practice
• Predict and understand customer patterns through metric and statistical analysis

Experiential Team Manager (Account Executive/ Sr. AE)
Phelps is looking for a talented mid-level (3 to 7 years) Account Manager/ Account Executive/ Sr. Account Executive with a background in experiential campaigns who will provide strategic thinking, excellent client service and account management.

The individual will manage the administration of client assignments on a day-to-day basis both internally with agency resources and externally with supplier partners and client stakeholders.

In addition to managing the day to day client partnership, major responsibilities include: project and event management experiential/tradeshow, collaborate with agency partners and product/sales personnel to ensure execution of experiential/ tradeshow event, support Team Leader in the development and management of Experiential/Tradeshow agency partners, quality control, budgeting, financial tracking, reporting and scope of work development, and support the planning, communication and organization of planning sessions between Product sales and marketing.

The selected candidate will also be responsible for coordinating and managing the activities necessary to meet client’s executional programs; ensure the smooth flow of work among agency teams; and coordinate preparation of event activation plans, research recommendations, and strategies.

Team Coordinator (Assistant Account Executive)
Hi there. We are Phelps, an integrated marketing agency located in Santa Monica whose focus is to deliver cohesive campaigns through Advertising, Public Relations, Digital Production, Social Media, Media Planning/Buying, Video Production, Radio Production, Brand Strategy, Creative, Analytics and the list goes on.

We don’t have departments here, we have client teams that are composed of different specialists who work together to do awesome work for their client and it just so happens that we’re hiring a Team Coordinator to work on a few of those teams.

The Team Coordinator will be responsible for providing project management support on integrated accounts for our agency’s clients.

This position is much more than tracking schedules and timelines – you’ll be working with specialists across all disciplines to develop and execute solutions to make campaigns and their delivery a smooth process that yields great results.

Candidate should be intuitive, digitally savvy, a strong team player and demonstrate smart thinking and proactive problem solving. He or she should possess a basic understanding of project management concepts and processes in the advertising agency setting. Media Planning/Buying Entry Level Hire
Phelps is currently looking for a Paid Media (Media Planning/ Buying) Entry Level Hire (Advertising).

We are looking for a talented, organized and energetic candidate to work with us in paid media planning and buying. This is a great opportunity to learn all facets of paid media planning: digital, print, broadcast, for clients in retail, travel, healthcare and utility industries. Description of the position: working with the paid media team to assist in different aspects of project coordination and execution and for our clients. Art Director
We’re looking for an Art Director who is focused on more than just aesthetics and making things “look good.” We’re looking for someone who understands how to solve our client’s business challenges with creative strategy that’s followed by smart, forward thinking, and solutions oriented creative. Integrated Media Planner
Phelps is currently seeking an experienced media planner, with 3+ years of experience, to join a team of multi-media planning specialists. Qualified candidates have worked at an ad agency or media buying company with a desire to further their media planning knowledge, engage with deserving clients and help in the development and execution of plans that drive results.

Responsibilities include:
• Contribution to development of strategies for integrated media planning (digital, broadcast, print, outdoor, other)
• Works within a team to develop detailed media plans to include objectives, strategies, evaluation criteria, recommendations, testing and metrics implementation
• Monitors and maintains all aspects of media plan on a daily basis such as flowcharts, budgets, performance metrics, and client invoicing.
• Client contact and follow-through
• Acts as coach and mentor to junior staff
• Commitment to the Phelps corporate culture - task forces, cross training, continued education participation

Requirements include:
• Bachelors Degree with 3+ years of Media Planning experience
• Some familiarity with all media vehicles (digital, broadcast, print, out-of-home, guerilla)
