Account Management Trainee

Benefits & Payroll Specialist
We’re all counting on you. After all, we’re not payroll & benefits specialists. We’re writers, artists and other marketing communications experts, helping well-known brands communicate with their customers. General Responsibilities:

• Payroll: Processing Semi-monthly & Bonus payroll including verifying timekeeping, tracking Personal & Vacation, expense payments, entering employee change requests such as taxes, benefits, as well as updating personnel information for review by CFO.
• Benefits: Administer benefits including Personal and Vacation tracking, enrolling/terminating employees on various benefit plans, providing new employee benefits information, answering employee questions in regards to benefits, processing monthly insurance invoices and assisting employees with insurance claims. Working with our Broker to resolve issues for Agency staff and resolve issues in benefits system. 401k, Profit Sharing and ESOP administration, census, audit and 5500 filing. Setup and administer annual open enrollments for all benefits. FSA & HSA tracking and enrollment.
• Compliance: Assist with the administration of COBRA, FMLA, OSHA and unemployment, data mining for federal and state reporting. California Sick Leave tracking. W2 & Federal ACA Reporting and working with Payroll provider to issue appropriate forms. Providing management reports on turnover, overtime tracking, performance reviews and other reports as assigned. Establish and maintain I-9 files and other HR-related files to provide for accuracy and safekeeping in accordance with federal and state record keeping guidelines. Assist in the filing of employment visas and renewal as needed.
• Other HR items: Coordinate with HR Specialists and ensure completion of new hire paper work and orientations, schedule requested training, track and maintain accurate Anti-Harassment training records. Maintain hard-copy personnel files to document personnel actions and to provide information for payroll and other uses.
• Assist Accounting and other Operations teams as needed.
• Other duties as assigned.

Qualified candidates will have:

• Works with and reports to CFO & President.
• A minimum of 2+ years professional experience working with the payroll software within a human resources department. Experience with Paycom preferred.
• Experience in an Advertising or Service Company preferred.

Bilingual Team Coordinator (Assistant Account Executive) (Spanish)
Phelps is looking for a talented entry-level (1-2 years) Assistant Account Executive with some experience in integrated campaigns who will provide strategic thinking, excellent client service and account management.

The individual will manage the administration of client assignments on a day-to-day basis.

Major responsibilities include coordinating and managing the activities necessary to meet client’s executional programs; ensure the smooth flow of work among agency teams; and coordinate preparation of media plans, research recommendations, and strategies.

Solid communication skills are essential to participate in both agency and client status meetings in conjunction with being able to demonstrate excellent interpersonal and presentation skills. Individual must be energetic, highly motivated, a self-starter, and willing to succeed.

Billing Intern
The ideal candidate must be accurate and efficient, a highly organized team player with an aptitude for detail work, employ reliable methods of checking own work to verify accuracy of work product, must be able to multi-task, and has a strong work ethic. The primary aspects of the job will include basic accounting, billing, clerical tasks and accounts payable.

BASIC REQUIREMENTS

Digital Marketing Analyst (SEM Analyst)

Digital Media Specialist (Planning & Buying)
Phelps is currently seeking a paid media planner, with 3+ years of experience, to join a team of multi-media planning specialists (broadcast, print, outdoor, digital). Qualified candidates have worked at an ad agency or media buying company with a desire to further their media planning knowledge, engage with deserving clients and help in the development and execution of plans that drive results.

Responsibilities include:
• Contribution to development of strategies for integrated media planning (digital, broadcast, print, outdoor, other)
• Works within a team to develop detailed media plans to include objectives, strategies, evaluation criteria, recommendations, testing and metrics implementation
• Creates media plan documents using excel and power point

• Identify and manage development (and future deployment) against key technical milestones, project dependencies and project resources

Marketing Automation Strategist (Marketo)
Phelps, an integrated marketing communications agency located in sunny Playa Vista, is looking for a talented and experienced specialist in the areas of CRM strategy, program development and execution, marketing automation, and lead generation campaigns, for both B2B and B2C clients.

We’re looking for an individual who is able to clearly identify our clients’ customer journeys, and develop communication programs that provide a clear path to engagement. We are a platform-agnostic agency, however we do seek somebody with specific expertise with implementing communications campaigns within Marketo, Salesforce/Marketing Cloud (exact target), and/or Hubspot. Our current clients work across all of these platforms.
Previous experience with the day-to-day management of client assignments in the email marketing world is a must.

Requirements:
• Must have 3-5 years in developing email marketing strategies and campaigns, through the aforementioned platforms, specifically with regards to email best practices, CAN-SPAM laws and performance analytics, and knowledgeable in the basics of automated marketing.
• Must have experience in developing lead scoring methodologies for previous clients (examples and references will be required)
• Major responsibilities also include planning, analyzing, and evaluating information and agency output relevant to agreed-upon client needs. Must have experience in the native analytics tools to each of the aforementioned platforms
• Candidate will also be responsible for the coordination and management of the activities necessary to meet client’s needs as well as ensure the smooth flow of work among agency teams.

Job Description
This position will be responsible for the research, procurement, and creation of marketing content (when necessary) for our pool of clients. The Content Marketing/SEO Specialist will also need a strong understanding of Search Engine Optimization (SEO) principals and use those principals when creating and/or optimizing content. Specific responsibilities involve keyword research, segmenting keywords by user intent, marketing content production and delivery management, and assisting client teams with the optimization, creation and scheduling of future content (content marketing calendar.)
