Account Management Trainee

Candidate should be intuitive, a strong team player and demonstrate smart thinking and proactive problem solving. Strong communication skills (written and oral), organizational skills and client service skills are required. The ideal candidate will have at least 1-2 internships in account management or project management coordination.

Responsibilities may include:
• Managing client requests regarding campaign needs, deadlines and budgets

Accounting Intern
The ideal candidate must be accurate and efficient, a highly organized team player with an aptitude for detail work, employ reliable methods of checking own work to verify accuracy of work product, must be able to multi-task, and has a strong work ethic. The primary aspects of the job will include basic accounting, billing, clerical tasks and accounts payable.

BASIC REQUIREMENTS
• Understanding of basic Accounting principles and General Ledger
• Basic office equipment skills (fax, photocopiers, scanning, etc.)
• Basic skills in Outlook, MS Word and MS Excel

BILLING
• Coordinate client production billing with Teams for multiple accounts from start to finish
• Coordinate with Teams to meet weekly and monthly billing deadlines
• Review Time entries to ensure accuracy
• Reconcile purchase orders to supplier invoices for billing
• Review, reconcile and enter expense reports
• Media billing and reconciliation
• Collate and prepare distribution of client invoices
• Accounts Receivable collections as necessary

ACCOUNTS PAYABLE
• Communicate with suppliers and respond to payment inquiries
• Coding and entry of both expense reports and supplier invoices into accounting program.
• Assist with check runs
• Setup of new suppliers in accounting software as well as supplier A/P file.
• Daily/Weekly filing of supplier invoices and check copies into accounts payable files.

CLERICAL
• Sort documents and process invoices for data entry and payment
• Copy, distribute and file documents
• Other Duties as assigned

Bilingual Team Coordinator (Assistant Account Executive) (Spanish)
Phelps is looking for a talented entry-level (1-2 years) Assistant Account Executive with some experience in integrated campaigns who will provide strategic thinking, excellent client service and account management.

The individual will manage the administration of client assignments on a day-to-day basis.

Major responsibilities include coordinating and managing the activities necessary to meet client’s executional programs; ensure the smooth flow of work among agency teams; and coordinate preparation of media plans, research recommendations, and strategies.
